An AI agent answers and acts. It replies to customers, books them in, records the details and follows up, and it passes anything unusual to you.
What is an AI agent, in plain words?
Think of a new staff member on the front desk who has read everything about your business. They answer the phone and messages, ask a few questions, look at your diary, book the job and write it down. When something is outside their job, they come and get you.
An AI agent does the same with software. The AI part reads and writes. The agent part is the access you give it: your calendar, your customer list, your inbox, your price list. Without that access it’s just a chatbot.
How is an AI agent different from a chatbot?
| Chatbot | AI agent | |
|---|---|---|
| What it does | Answers questions | Answers, then takes the next step |
| What it knows | A script or FAQ list | Your business info, plus live details like free times |
| What it can change | Nothing | Bookings, customer records, follow-ups, drafts |
| When it’s unsure | Loops or gives up | Hands over to you with the full conversation |
| Example | “Our hours are 7 to 5.” | “Thursday 10am is free. Want it? I’ll text you a reminder the day before.” |
What can an AI agent do in a small business?
- Answer every enquiry on web chat, text and social messages, and on the phone if you want a voice agent.
- Qualify leads by asking the questions you would: what job, which suburb, when, rough budget.
- Book appointments straight into your calendar or booking system.
- Follow up quotes and enquiries that went quiet, and stop when they reply.
- Sort your inbox, draft replies for you to approve and pull out the to-dos.
- Keep your customer list up to date, so every conversation is recorded in one place.
What does a good AI agent need to work well?
- Your information. Prices or price ranges, areas, services, policies and the answers you give every day.
- Access to your tools. Calendar, booking system, inbox, customer list. Only what the job needs.
- Clear limits. What it must never promise (a price without a quote, a time that isn’t free) and what it should always hand to you.
- A way to reach you. A text or notification when a person is needed, with the conversation attached.
- Someone checking. Read its conversations every week for the first month and fix what it gets wrong.
Where do AI agents go wrong?
- Making things up. If it hasn’t been given an answer it may guess. Good agents are told to say “I’ll check with the team” instead.
- Promising too much. Without limits it might agree to a discount or a date you can’t do.
- Slow handover. An upset customer stuck talking to software is worse than voicemail.
- Running costs nobody watched. Phone minutes, texts and AI usage are often charged by volume. Ask what a busy month costs.
How much does an AI agent cost in Australia?
You can put a simple one together yourself with a chat tool and an automation tool (see Zapier vs n8n), paying their monthly plans plus your time.
Having one built means someone sets it up, connects it to your tools, tests it on real questions and keeps improving it. CSL Media builds custom AI agents from $2,500 with a fixed quote after a free call. Running costs such as phone numbers, texts and AI usage depend on volume and are explained before you start.
Do I need an AI agent?
Probably yes if you miss calls and messages while you’re working, answer the same questions every day, or know that leads go cold before you get back to them.
Probably not yet if you get a handful of enquiries a week and reply within the hour. A simple instant reply or a text back to missed calls may be all you need; our AI receptionist guide compares those options.
