The problem
An agency like Social Antics juggles two kinds of work at once. There’s winning new clients: enquiries, discovery calls, quotes and onboarding. And there’s looking after existing clients: shoots, captions to approve, content to post and reports to send. Most off-the-shelf CRMs handle the first part and ignore the second, so the rest ends up in messages, spreadsheets and memory.
What we built
A CRM in Social Antics’ own name and look, with their sales stages: enquiry, discovery call, one-off or retainer, quote, accepted and onboarding. On top of that:
- Enquiries from their website go straight onto the board.
- Quote follow-ups go out on their own if a quote hasn’t been answered, and stop when the client replies.
- Caption approvals by private link. Their clients approve captions from a link with no login, and can leave a note. Reminders go out if an approval is waiting.
- Shoot bookings with reminders before the day and a recap afterwards.
- Onboarding starts when a quote is accepted, with intake forms and invoices.
- Google review requests at the right moment, plus birthday and anniversary messages for their clients.
- A link-in-bio page for Instagram, with click counts, and connections to Instagram and Google Drive.
How it works day to day
The team starts on one screen that shows what needs them today: new enquiries, quotes waiting, approvals overdue and shoots coming up. The routine messages go out on their own, in the agency’s voice, and everything sent is saved against the client. The team spends its time on the content, not on chasing.
Why a custom CRM
Social Antics didn’t need another generic sales tool. They needed the parts of their week that are specific to a content agency, like caption approvals and shoot recaps, to live in the same place as their enquiries and quotes. Building it around them meant nothing had to be forced into a tool designed for someone else.
